##Completing your entry form

###BRIEF DESCRIPTION OF THE EVENT – TO APPEAR IN YOUR GUIDE BOOK ENTRY

Each exhibition entry in the guide is just one-sixth of an A5 sheet (35mm x 70mm.) Descriptions therefore need to be succinct – no more than 12 – 15 words.
Keep your description brief but eye-catching and include reasons why visitors may want to visit your site.
Space is very limited, so if your medium is to appear by your name, avoid repeating this in your description.

**Long description** – on-line entries –only
The long description will be used on the full-page for your entry on the website. It will not be used in the guide, or on listings pages within the website. You may either repeat your brief description again or provide a more comprehensive description of your event, including any demonstration details or special events and more insight into the artists exhibiting. You may also want to add directions here if required.

**Directions:**
Only use if absolutely necessary as this will make your description shorter.
You will be provided with directional posters to sign ‘visitors’ to your site.

**Email/web addresses:**
Only one address will be used. You’re email address will appear in print and on the web, so don’t use if you are concerned about spam.

**Telephone:**
Only one contact number will be used.

**Venue Address:**
Cannot be accepted without a postcode.

###DATES:
Mark the days that you are open very clearly on your entry form.

Artists may choose to stay open throughout the three weeks, but in order to offer the visitors some guidelines, participants are requested to ensure that they are at least open during the week allotted to their area, wherever possible.

###OPENING HOURS

It is helpful to the visitors if everyone can operate similar hours of opening.
Keep opening times VERY simple.
Standard opening hours are 12-6pm though visitors often appreciate an earlier start.
Late night is Thursday or Friday until 8pm.
However, if this is not possible, please state clearly your alternative times.

**IMAGES** – We receive nearly 500 images in the space of eight weeks.
Many visitors choose their venues based on these images so choose something striking and representative, and as close to square as possible.
Please follow these guidelines to ensure that your image is displayed correctly and to its best advantage in the guide.
 
– All entries must include an image, even if it is only a logo. A blank space will not help you or the look of the guide.
– Submit only one image per site. If you are exhibiting as part of a group and want to include more than one artist’s work, please supply us with a composite image or montage.
– Images can be colour or monotone.
– We prefer digital images, which should be uploaded with your on-line entry or emailed with paper entry. These must be high resolution: a minimum of c.1MB in size and no larger than 2MB (emailed) 4MB (online entry). We can also accept hard copy or transparencies with paper entries.
– If you are sending us flat artwork or photograph to scan, this must be no smaller than a postcard and no larger than A4.
– **IMPORTANT NOTE:** All digital files, artwork, photos or transparencies must be marked with the Artist’s Name or Group Name and Region (City/North/South). (The title of the image is not used in the guide entry and does not help in guide production)
Receipt of all emailed images will be acknowledged, Please contact the office immediately if you do not receive this.
If you wish your flat artwork, photograph or transparency to be returned, please mark ‘RETURN’ and provide a SAE (see below).
 
Ensure the envelope is the right size and has the correct postage attached – Artweeks will not be responsible for any additional charges.

POSTAL ENTRIES: STAMPED, SELF-ADDRESSED ENVELOPES

As we operate on a very tight budget, we ask you to supply us with stamped SAEs with each entry as follows:

1 x postcard or sealed envelope: so that we may confirm that your entry has arrived.
1 x A5 SAE: to send you a proof of your Guide entry for checking, receipt and confirmation that your exhibition will be entered.
1 x SAE for RETURN of Image if required: please provide the correct size envelope & postage.
